Keyts Cleaning Services (VIC) Pty Ltd (ABN 58 385 577 538), trading as Keyts Facility Services (“Keyts”, “we”, “us” or “our”), respects the privacy of everyone who visits our website or contacts us. This Privacy Policy explains what personal information we collect through our website and other public channels, such as WhatsApp, how and why we collect it, who we share it with, and how you can access, correct or complain about that information.

This policy applies to visitors to our website, people who contact us to make an enquiry, apply for a job, or subscribe to our updates. It does not cover the separate Keyts workforce app used by our employees and contractors, which has its own Privacy Policy.

2. Our commitment to your privacy

Keyts is bound by the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (Privacy Act), and handles personal information in accordance with the APPs regardless of any small business exemption that may otherwise be available to us.

3. What personal information we collect

Depending on how you interact with us, we may collect:

  • contact and enquiry details, such as your name, email address, phone number, company name and the content of any message you send us through a contact or quote request form;
  • website usage information, collected automatically through cookies and analytics tools, such as your IP address, browser and device type, pages visited, referring website, and approximate location;
  • job application details, such as your name, contact details, resume or CV, cover letter, employment history, qualifications and any other information you provide if you apply for a role with us;
  • newsletter and marketing preferences, such as your name and email address, if you subscribe to receive updates from us; and
  • WhatsApp messages, including your phone number, WhatsApp profile name, and the content of any messages, photos or documents you send us through WhatsApp Business.

4. How we collect personal information

We collect personal information:

  • directly from you, when you complete a form on our website, apply for a job, subscribe to our updates, or message us on WhatsApp;
  • automatically, through cookies and similar technologies when you browse our website; and
  • from third parties, such as recruitment platforms or job boards, where you have applied for a role through one of those services and your application has been passed on to us.

5. Why we collect, hold, use and disclose your information

We collect and use personal information to:

  • respond to enquiries and provide quotes or information about our services;
  • assess and process job applications, and contact you about your application;
  • send newsletters or marketing communications, where you have subscribed or otherwise consented to receive them;
  • understand how our website is used and improve its performance and content;
  • communicate with you through WhatsApp, where you have chosen to contact us that way; and
  • meet our legal, insurance and contractual obligations.

You may opt out of marketing communications at any time, either by using the unsubscribe link in any email or by contacting us using the details in section 12.

6. Cookies and website analytics

Our website uses cookies and similar tracking technologies, including analytics tools, to understand how visitors use our site and to improve its content and performance. Cookies may collect information such as your IP address, browser type, device type, and browsing behaviour on our site.

You can control or disable cookies through your browser settings, though some parts of our website may not function correctly if you do so.

7. WhatsApp Business messaging

If you message us through WhatsApp Business, we collect your phone number, WhatsApp profile information, and the content of your messages so we can respond to you. WhatsApp is operated by WhatsApp Ireland Limited, part of the Meta group of companies. When you message us on WhatsApp, your information is also handled in accordance with WhatsApp’s own privacy policy, and may be processed or stored on servers located outside Australia. We encourage you to review WhatsApp’s privacy policy for details of how Meta handles your information on that platform.

8. Job applications

If you apply for a role with Keyts, we use the personal information you provide to assess your application, contact you about the recruitment process, and, if successful, to prepare an offer of employment or engagement. We retain application information for a reasonable period after a recruitment process concludes, and do not use it for any other purpose without your consent.

9. Who we may share your information with

We may disclose personal information to:

  • our IT, hosting, website, analytics and email marketing service providers, who help us operate our website and communications, under contractual obligations to protect your information;
  • WhatsApp Ireland Limited and other Meta group companies, where you contact us through WhatsApp;
  • recruitment platforms or referees, where relevant to assessing a job application;
  • professional advisers, insurers and regulators, where required to meet our legal or contractual obligations; and
  • any other party you have authorised us to share your information with, or as required or permitted by law.

Some of our service providers, including WhatsApp/Meta and our website hosting and analytics providers, may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure your personal information continues to be handled consistently with the APPs.

10. Data security

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure. No system can guarantee absolute security, and we encourage you to contact us immediately if you suspect any unauthorised use of your information.

11. Data breach notification

If we become aware of a data breach involving personal information that is likely to result in serious harm, we will assess it and, where required, notify the Office of the Australian Information Commissioner (OAIC) and affected individuals in accordance with the Notifiable Data Breaches scheme under the Privacy Act.

12. Access, correction and complaints

You may request access to, or correction of, the personal information we hold about you by contacting us using the details below. We will respond within a reasonable time and, in most cases, free of charge.

If you believe we have breached the APPs or mishandled your personal information, you can lodge a complaint by contacting us at privacy@keyts.com.au. We will investigate and respond to your complaint within a reasonable time. If you are not satisfied with our response, you may refer your complaint to the OAIC at oaic.gov.au.
